Registration fees
There are three types of registrations:
- Workshops only registration: includes workshops, lunches and coffee breaks on 9th September, but does not include social events.
- Conference only registation: includes conference admission, lunches and coffee breaks on the 10th to 12th September as well as social events.
- Conference + Workshops registration: includes everything from 9th to 12th September
Students and EWICS members have the right to special fees. Evidence of belonging to the two categories will be requested during registration onsite, and verified successively.
*Student fee refers to Master- or PHD students.
It is mandatory to pre-register for social events, latest 9 August.

Important notes for authors:
- Only papers that are presented by an author at the conference will be submitted for inclusion in the digital libraries.
- Each conference paper (research paper, practical experience report, or tool paper) must have a non-student conference registration, or a non-student conference+workshop registration.
- Each workshop paper must have a non-student workshop registration, or a non-student conference+workshop registration.
Social Events
Welcome Reception
The Welcome reception is hosted by the City of Stockholm and will be held at the City Hall.
The Welcome reception includes light mingle food and drinks.

Campus tour and research demonstration
Social event and visit to the KTH Reactor Hall
During the social event evening we visit the KTH Reactor Hall. It is located on the KTH Campus and was originally the site of Sweden’s first nuclear reactor, the R1 research reactor. https://www.kth.se/en/om/upptack/r1/kth-reaktorhallen-1.739170
Please note that you reach the hall via an elevator, if you have claustrophobia we advise against attending.

Conference Dinner
The conference dinner includes a 3-course dinner and drinks in the historical Vasa Museum.

Hotel booking
A number of hotel rooms in different price categories have been pre-booked for the conference. Book your room via the online booking service when you register for the conference.
Cancellation policy
Until 14 July cancellation is possible and you will be refunded the conference fee less an administrative cost of SEK 500. We regret that no refunds can be made for cancellations received after 15 July.
If you cannot attend the conference, your registration is transferable to another member of your organization, an administrative cost of SEK 500 will be charged.

Method of payment
All payments should be made in Swedish krona (kr/SEK). All bank transfer charges in connection with transferring fees are to be paid by the delegate. No personal, company or Euro-cheques will be accepted.
Payment can be made by the following methods:
Credit card – Visa, MasterCard. Please note that all credit card payments are made through a secure and encrypted online payment gateway, and will be listed as a transaction with Sweden Meetx AB on your credit card statement.
Invoice – Only possible for Swedish companies/organisations with a valid Swedish VAT number (Org.nr). Invoices should be paid within 30 days.
VAT on fees – important information
The fees are stated in SEK including Swedish VAT. Please note: According to Swedish and EU** legislation all delegates are required to pay Swedish VAT on the registration fee (25%), social events (25%) and hotel (12%).
** According to the EU legislation and regulation for conferences and events (C-647/17, EU:C:2019:195, of 13 March 2019 and Article 53 of Council Directive 2006/112/EC of 28 November 20016) VAT is paid in the country where services are rendered, e.g. the country in which the conference takes place.

User Agreement
The delegate agrees that the data, photos, audio and video can be used by SafeComp, the host of SafeComp 2025 for further steps (Social Media or future congresses).
The delegate agrees that the registration data will be recorded electronically and will be used in the future for sending information per email by SafeComp, the host of SafeComp 2025 and the next organizer of SafeComp.
The delegate agrees that name / company / country will be printed in the official delegate list of the congress. No data will be transferred to further third party.
Our privacy policy
We are committed to protecting your privacy. The information we ask for in the registration is the information we need to properly arrange the meeting, logistics, login, payments etc. We will provide relevant information with our partners (travel agency/hotel/venue and industry) with the same purpose. Neither we nor our partners will share any information with third parties. We may keep your name and email address for future R&D events, but you are always free to reject any invitations. We can not register your information without your approval. By confirming our cancellation policy and then clicking the “I accept the user agreement” button in our forms, you agree that we store your information for the above purposes.

Climate compensation for travelling to the conference
Travel has a significant impact on both the environment and the climate. Approximately one third of our consumption-based greenhouse gas emissions come from travel.
When registering for the conference, participants have the option to offset the climate impact of their travel. At the end of the year, the conference organiser, Meetx, will channel the total funds collected from those who choose to offset their travel emissions into financing a selected project (in collaboration with ZeroMission).
Please note that whenever possible, we encourage travelling by train, as it is a climate-friendly way to reach the conference.
